Appointments via WhatsApp
Bookings arrive as messages, often after hours. Every confirmation, reschedule and cancellation is manual work – and nobody has a reliable overview of who is actually coming when.
For Thai massage studios across Europe
Website, online booking, client management, billing and marketing work as one system instead of side by side. You run your studio – the admin runs along in the background.
Starting point
Not out of negligence, but because every tool was added on its own. The result is a patchwork that costs time every single day.
Bookings arrive as messages, often after hours. Every confirmation, reschedule and cancellation is manual work – and nobody has a reliable overview of who is actually coming when.
The studio page lives inside someone else’s network. People who do not search there will not find you – and how many see your posts is decided by an algorithm, not by your studio.
Index cards, sticky notes, a paper diary. The information exists but cannot be retrieved – and when staff change, it quietly disappears.
Invoices are written one by one and figures collected by hand at month end. That is exactly when there is no time left for the analysis that would improve decisions.
People searching for “Thai massage” plus your city end up with a competitor. Without your own website and local optimisation, those enquiries simply never reach you.
Someone who wants to book at 10pm cannot. Every enquiry that has to wait for a reply is an enquiry that can be lost.
Each point on its own is solvable. Together they create an administrative load that grows with every additional client – instead of scaling with them.
Solution
Instead of connecting five tools that were never built for each other, you get one foundation your studio works on – and that later grows with it.
Website, booking, client data and billing interlock. One booking creates the calendar entry, the client record and the invoice – with nobody typing anything twice.
No switching between a website provider, a booking tool helpdesk and billing software. One developer who knows your studio and is responsible for the whole system.
What you need today gets built now. What you need in two years is already accounted for – memberships, gift cards, corporate clients, a second location.
Modules
Your studio starts with what makes the biggest difference today. Every further module is added when it is actually needed – not all at once and not on speculation.
Visibility and booking – the part that brings appointments straight away.
A fast, multilingual studio site that explains your treatments and leads visitors to a booking – not just to a phone number.
Clients book around the clock, see real availability and receive confirmation automatically. Double bookings are technically impossible.
Findable for “Thai massage” plus your city – with clean technology, local signals and content that search engines and people both understand.
German, English and Thai maintained from one source. Your team works in the language it is confident in, too.
Everything that currently costs you administrative time.
History, preferences, contraindications and treatment record per client – retrievable in seconds, no matter who is on shift.
Invoices and receipts come out of the booking instead of out of Word. Revenue is analysable at any time and your accountant receives clean data.
Utilisation, revenue, share of returning clients and no-shows at a glance – the numbers that actually change decisions.
Revenue sources that go beyond the single appointment.
Recurring revenue instead of single appointments: subscriptions, ten-session cards and allowances are managed and billed automatically.
Sell gift cards online, redeem them digitally and prevent reuse – particularly relevant around Christmas and Mother’s Day.
Appointment reminders, reactivation of lapsed clients and campaigns – triggered from data that is already in the system.
On-location appointments with their own prices, travel times and service radius – cleanly separated from the studio calendar.
Companies book allowances for their staff – with their own access, consolidated invoicing and transparent reporting.
Hotels and spa resorts send guests straight into your calendar – with agreed rates and traceable settlement.
No studio needs every module from day one. In the first call we identify the two or three that make the biggest difference for you – the rest stays prepared.
In the free initial call we walk through your current processes and name the two or three points where digitalisation makes the biggest difference for you. No sales pressure, no obligation.
Why BTECH
Building software for an industry you do not know produces systems that miss reality. That is why both sides are represented here.
Benjamin Tietz
Full-stack developer & DevSecOps
Builds web applications and booking systems from the first draft to live operation. Security, data protection and maintainability are part of the build – not an add-on sold later.

Thai perspective & industry insight
Brings the inside view of the industry: how studios actually work, how clients are spoken to, and which processes hold up in daily practice – and which only work on paper.
Context
Standard software is quick to set up and exactly right for many businesses. For a studio whose processes are not average, the cost appears later – in workarounds.
| Context | Standard software | Custom solution |
|---|---|---|
| Processes | Your studio adapts to the software. | The software mirrors your processes. |
| Treatments & pricing | Predefined categories, limited variants. | Your treatments, durations, combinations and special rates. |
| Languages | Usually German and English, Thai rarely. | German, English and Thai maintained as equals. |
| Website & booking | Two separate systems with a visible break. | One continuous path from visit to confirmation. |
| Data | Your client data sits with the vendor. | Your data, your server, designed to be GDPR-compliant from the start. |
| Cost | A monthly fee per user – permanent and rising. | One-time development, then predictable running costs. |
| Extensibility | What is not foreseen will not arrive. | New modules as soon as your studio needs them. |
| Support | A support ticket in a queue. | The developer who built your system. |
Custom does not mean “everything from scratch”. Proven building blocks stay proven building blocks – what gets built custom is exactly what makes your studio different. If your processes do match the standard, we will tell you so in the first call.
Orientation
So you can gauge the order of magnitude of your project. These levels are orientation, not a shopping cart – the concrete scope is defined in conversation.
For studios without their own website
Visibility and first online bookings
For studios that want to cut admin work
Booking, client data and billing in one system
For studios with several practitioners
Recurring revenue and team management
For multiple locations and partner business
Scaling beyond the single studio
We name a price once we understand your studio. Scope, number of practitioners and existing systems change the calculation significantly – any figure before that would be guesswork. In the first call you receive a dependable range, free and without obligation.
Concept study
We built a complete studio platform as a concept: website, booking flow, client management and analytics – thought through end to end, so you do not have to rely on descriptions but can look at the result.
For transparency: this study is a concept build, not a client project. All content and figures shown are sample data.
Which is exactly why a conversation is worth it before you commit to a tool that dictates your processes. We will tell you honestly whether a custom solution pays off for you – or whether it does not.
Frequently asked questions
The questions that come up in almost every conversation – answered here without detours.
It depends on scope: a website with online booking is a different project from a platform with client management, billing and memberships. That is exactly why no figure is printed here – a serious number can only be given once it is clear how your studio works, how many practitioners there are and what already exists. In the free initial call you get a dependable range before anything is commissioned.
That depends on the level of build-out. A website with online booking is the smallest sensible start and is delivered considerably faster than a full platform with billing and memberships. Instead of quoting a generic number of weeks, we set a concrete timeframe for your scope in the first call – and stick to it.
Not necessarily. If your site is technically sound, the booking flow can be connected to it. Often a rebuild is still the cheaper route, because older website-builder pages are designed neither for speed nor for search engines, and every extension costs more than a clean start. We look at your existing site and say openly which route is cheaper for you.
Existing data from lists, spreadsheets or a previous tool can be migrated as long as it can be exported. Paper index cards have to be captured – effort we name upfront instead of letting it surface mid-project. Your data stays your data: it lives on your system and is not passed to third parties.
Data protection is part of the build, not an afterthought. Health-related details – such as contraindications or treatment records – require particular protection and are handled accordingly: role-based access, storage inside the EU, a deletion concept and properly documented data processing. The developer responsible is a certified data protection officer; accountability for your studio nonetheless stays with you – we deliver the technical foundation and the documentation for it.
No. You describe how your studio works – translating that into technology is our job. Day-to-day use is designed for studio reality: add an appointment, find a client, create an invoice. Training for you and your team is part of the handover.
Yes – that is one reason multilingual support is a foundation here rather than an add-on. The interface can be used in German, English and Thai, independently of the language your clients book in. During coordination a native Thai speaker is part of the team, so wording and processes fit linguistically as well.
Yes. Phone appointments are entered into the system so every channel looks at the same calendar. That is precisely what prevents double bookings – not giving up the phone. Many studios start this way and only gradually shift a growing share of bookings online.
Multiple locations are accounted for in the architecture: a separate calendar, team and pricing per location, with shared reporting. That is why it is worth mentioning this perspective in the first call – even if the second location is still years away. Planned for is considerably cheaper than retrofitted.
Because it is built for the average. As long as your processes match that average, standard software is the cheaper choice – and we will say so. As soon as treatments, price structures, languages or partner business deviate, workarounds appear – and those cost time permanently, while the monthly per-seat fee keeps running.
No. The source code and the data belong to you, the system runs on infrastructure you have access to, and widely used technologies are chosen deliberately so other developers can work with it too. We want to stay because the collaboration works – not because switching is technically impossible.
Operation, updates, security patches and backups continue – as a clearly described, predictable service. You reach the same developer who built the system rather than a ticket queue. What exactly is included is settled before the project starts.
Yes, we work across Europe. Collaboration is largely digital anyway, and a studio’s functional requirements barely differ from country to country. Country-specific points such as tax rates, mandatory invoice details, currency and time zone are handled during implementation. Communication runs in German, English or Thai.
Yes. For many studios that is the right first step: become visible before changing processes. What matters is that the site is built so that booking and client management can be added later without a rebuild. What such a build looks like is described under web development.
Around thirty to forty-five minutes, by phone or video. We walk through your current processes, name the two or three points with the greatest leverage, and you receive an honest assessment – including when that assessment is that a simple standard tool is enough for you. There is no sales pressure and no automatic commitment.
For the first call, nothing but your time. For the build: your treatments with durations and prices, your opening hours, existing photos and texts, plus access to existing systems if data is to be migrated. Anything missing we create together – no project has ever failed on that.
Both live in the same system as the booking: a gift card is bought online, receives a unique code and can only be redeemed once. Memberships and ten-session cards automatically reduce the remaining balance at the appointment, so nobody has to keep count. The revenue flows into the same reporting as single appointments.
Thirty to forty-five minutes in which you get an honest assessment: what is worth doing for your studio, what can wait and what range it moves in. After that you decide at your own pace.
